Part-Time Office Assistant


This position will support the financial and administrative management of the church. This person will also support the overall discipleship ministry of the church.


Accountability:

Part-Time Assistant is responsible to the Administrative Assistant


Hours:

This position is 10 hours weekly.


Specific Responsibilities:


In Support of the Director of Finance

  • Maintain files for accounts payable records, deposit packages, correspondence, and End of Month reports or other reports, as required
  • Scan financial documents, as directed
  • Shred sensitive financial documents that are no longer needed
  • Prepare payment packages for weekly check processing
  • Prepare monthly schedule for money counters and check signers based upon information gathered from the group
  • Match monthly credit card receipts with purchase orders and with each individual’s monthly church credit card statement.  Follow up on missing receipts.
  • Track attendance and giving to advise the Director of Finance of significant changes in either giving or attendance, so lapses may be followed up by pastor or discipleship
  • Provide monthly recap of specific designated fund activities to  multiple small group leaders
  • Prepare acknowledgement letters for memorial contributions received
  • Assist with quarterly contribution statement preparation and distribution
  • Assist with annual process of rotating hard copy files and file retention process
  • Assist with annual budget preparation process
  • Assist with annual preparation of W-2s and 1099-NEC for employees and contractors
  • Serve as backup for Director of Finance and accomplish “must do” duties of that position when the incumbent is out
  • Enter data and/or run reports in the accounting system and/or the payroll system, as instructed by the Director of Finance
  • Other duties as assigned

In Support of the Church Administrator

  • Answer telephone and direct phone calls as needed
  • Prepare blue registration cards and ensure sufficient stock is always readily available
  • Maintain sufficient stock of various office supplies and create purchase order or restock, as needed
  • Scan office documents, as directed
  • Shred office documents, as directed
  • Other duties as assigned

Nursery Workers


Nursery workers are responsible for providing excellent care for the children and parents of Wellspring during Sunday morning worship and Sunday school, as well as for other events (as scheduled/needed). 

 

Hours: 

This position is part-time (3-5 hours/week) 

 

Responsibilities: 

  • Welcome children into the classroom when they arrive. 

  • Provide support and assistance to parents when they arrive with their child.

  • Actively engage with children, setting up age-appropriate activities.

  • Provide physical, emotional, and intellectual support and stimulation to each child in care, as appropriate for the circumstances.

  • Ensure hourly diaper checks, for children who are not toilet-trained.

  • Attempt to calm children before alerting parents.

  • Contact parents if a child becomes sick or inconsolable.

  • Develop a relationship of trust and continuity with children and parents.

 

Performance Expectations:

  • Be punctual. Notify your supervisor in advance if you must be late. 

  • Be reliable in your attendance. Notify the supervisor in advance if you must be absent.

  • Be polite, friendly, and courteous to others, including children, adults, and peers. 

  • Check email at least weekly and respond to staff communications.

  • Never engage in the physical punishment/discipline of any child.

  • Complete required “Ministry Safe” training

 

Minimum Qualifications:

  • Steadfast commitment to the highest ideals of the Christian faith, of the United Methodist Church, and the mission, vision and purpose of Wellspring UMC

  • Servant attitude

  • Excellent communication skills

  • Basic understanding of children and their needs

  • Team player who operates in a collegial manner with other staff

  • Adaptive to a variety of situations

  • At least 18 years of age or older

  • Ability to lift 15-20 lbs
